The following procedures are for books that have CD-ROM discs or diskettes as accompanying pieces.
• During the receiving process, either through regular order checkin or unpacking a tub from the campus, a red flag [MULTIPLE PIECE ITEM] will be inserted in the book containing a CD-ROM or diskette. This flag goes with the book to the campus.
• Cataloging will consist of separate item records created for the CD-ROM and the book. The item records will be on the same bibliographic record.
• Separate label sets will be printed for each item (book and CD-ROM). A plastic single-item jewel case will be supplied by ERSS. As many label sets and jewel cases will be supplied as necessary.
Processing will occur as follows:
• A stamped label reading “Multiple Piece Item. Includes____ accompanying pieces” will be attached by ERSS Processing to the front cover of the book, next to (or under) the item id barcode label.
• This is also stamped on the inside of the book just above the book pocket. The number of pieces is written in the blank by Processing. NOTE: Do not put this label on Brookhaven Reference books.
• The CD-ROM-specific labels containing item number [barcode], call number and title will be affixed to the center of the outside front of the CD-ROM jewel case.
• The barcode number will be written on the top side of the CD-ROM with an extra fine point Sharpie permanent marker.
• DO insert security strips in books with CD-ROM jewel cases. DO NOT apply security strips to the CD-ROM jewel case or the CD-ROM itself. Sensitize the book, not the CD-ROM!
• DO NOT strip books accompanied by diskettes. Diskettes are placed in pockets in the back of the book. Write the call number as well as the item number on the diskette. If there is an accompanying label, place it on the plastic pocket containing the diskette in the back of the book.
• El Centro CD-ROMs will be placed in regular jewel cases provided by them. Do not use the ERSS plastic jewel case. Otherwise, processing remains the same.
• After processing is completed, the book and jewel case will be rubber-banded together for shipment to the campus.
NOTE: All campuses except North Lake have agreed to the above procedures.
