General Processing Policies

BINDERY

The campus libraries routinely have books bound. An outside vendor handles this binding process. The book processing operation will run across two types of campus bindery requests: VinaBind and Class A.

VinaBind

Any campus may request that a paperback book be sent to the bindery to have the VinaBind process applied. Books will arrive from Cataloging with a blue VinaBind slip sticking out of the book.

  • Apply the barcode labels in the usual places (on the outside of the book and on the book pocket). DO NOT put any tape over the outside label.
  • Apply the call number label in the usual place. DO NOT put any tape over it.
  • Apply the pocket label to the book pocket. DO NOT apply the book pocket to the inside of the book. Leave it loose.
  • DO NOT put any property stamps anywhere in the book. Pages will either be removed or trimmed by the bindery, and the stamps would be lost.
  • Place the book with its blue VinaBind slip and loose pocket inserted inside the book on the designated bindery shelves in the compact shelving units.

Class A

Hardcover books that need to be completely rebound are sent to the bindery for Class A binding. Campuses decide which books need to be rebound in this manner. Catalogers will generate new labels and insert a green Class A slip in the book. If a book designated for Class A binding comes through Processing, do the following:

  • DO NOT apply a barcode label to the outside of the book. DO apply a barcode label to the book pocket.
  • DO NOT put any property stamps anywhere in the book. Pages will either be removed or trimmed by the bindery, and the stamps would be lost.
  • Apply the pocket label to the book pocket. DO NOT apply the book pocket to the inside of the book. Leave it loose.

Place the book with its green Class A slip and loose pocket with extra barcode label inserted inside the book on the designated bindery shelves in the compact shelving units.


BOOK JACKET COVERS

Books with paper jackets, also known as dust jackets, are covered with a plastic cover.  The process is sometimes called "plasticleer."

Follow the directions provided by the manufacturer of the plastic covers. 

Books that are going to be covered in this manner do not need to have tape applied over the call number label or the bar code label, as the plastic cover will provide sufficient protection to these labels.


BOOK POCKETS

  • All books except Reference books receive a pocket. 
  • Pockets are placed about 1/3 inch up from the bottom of the first blank page in the book. 
  • If the first page of the book is not blank, the pocket should go where it will be least intrusive, but somewhere before the title page. 
  • Do not cover the first page if:

1. The first page contains maps.
2. The first page contains chemistry formulas.
3. The first page contains important events relating to the book.

  • A plain white piece of paper can be added to the front page of the book if needed to hold the pocket.
  • The pocket label, which is the largest label in the set of labels, is placed on the top part of the pocket.
  • Reference books receive the title label, and then a reference sticker is placed under the label, followed by a property stamp of the campus. The rules above for title page also apply.

LABELS

A label is the finished product of information about a book. It is created and produced from information entered into the library system by the Catalogers.

When the Processor receives the label it is ready to put on the book. The label set consists of these parts:

1. The spine label (call number)
2. The pocket label
3. Three barcode labels (item id labels)

The Spine Label

  • This label is put on the spine of the book if all the numbers are visible on the book's spine. If not, it is put on the front of the book, in the lower left corner.

The Pocket Label

  • This label is the largest label in the set and is put on the top part of the book pocket. If the book is a reference book, the label is put in the same place that the book pocket would be placed.

Barcode (Item id) Labels

  • One barcode label with the item number is put on the outside of the book in the left-hand corner of the top of the book, about 1/4 inch from the top and edge of the book. 
  • Another barcode label is put on the pocket just above the campus name. A Cataloger will have already put the third barcode label on the verso (back of the title page). 
  • The barcode that is placed on the outside of the book is applied horizontally for Brookhaven, Cedar Valley, Eastfield, North Lake, Richland, and Bill J. Priest. The outside barcode is placed vertically for El Centro and Mountain View.

LABELS - POSITIONING

The outside barcode label is to be positioned for the campuses as indicated. Numbers in parentheses ( ) are the "official" campus number.

PROCESSING LECROY VIDEOCASSETTE TAPES

• Each videocassette tape will have the following items for use in processing:
   One set of 3 barcode labels.
   2 printed labels: one small “spine” label, and one larger “book pocket” label.
   The videocassette’s paper sleeve container.

The 3 barcodes will be placed in the following locations:

  • One barcode label is placed on the videocassette in the clear window. With the tape door on the left, and the tape label area to the right, place the barcode label in the top clear window.
  • The second and third barcode labels are placed on the paper sleeve. With the sleeve opening facing to the right, place one label in the upper right corner of the container.
  • Place the third barcode label on the top of the paper sleeve container, putting the label as far to the right as you can. (It should be directly above and in line with the barcode label place on the front of the paper sleeve container.

The two printed labels will be placed on the paper sleeve container as follows:

  • The large printed label will be placed on the front of the sleeve, in the upper part of the sleeve. The label should be immediately below the barcode label.
  • The small printed label will be placed at the bottom of the spine of the paper sleeve container.

REFERENCE BOOKS

Processing for Reference books differs slightly from circulating books.

  • On Reference books, the book label is centered on the flyleaf (the first non-printed page).
  • A red "For Reference…" sticker is placed under the book label.
  • The property stamp for the proper campus is placed under these two items.
  • The campus property stamp is also placed on the inside back cover of the book.

RUSH PROCESSING

Rush orders receive first priority throughout all of ERSS processes.

The term "Rush" can apply both to a book order and to the book itself. 

  • When the book is checked in, a pink "Rush" slip is inserted in the book and given directly to a Cataloger for cataloging. 
  • Once cataloged, the book is hand-carried to Processing for physical processing. 
  • The item is immediately processed. 
  • Once it has been processed, the book is immediately sent to the LRC. The Rush slip is included to alert LRC staff that this is a priority book.

Books received directly from the LRCs are handled the same way: a "Rush" slip is inserted in the book and given directly to a Cataloger, then hand-carried to Processing, then sent to the LRC.


SECURITY STRIPS

Each book is stripped with a 3M theft-detection strip. There are two methods of attaching these strips to the books: by machine or manually. The preferred way is by machine. It is easy and saves time in processing the book.  Both methods are described. 

Manual Method

Most books are stripped with the short, green single status-1 tattle tape strips.  Some books may require use of a double-sided status-2 tattle tape strip. For books with no space between the binding and spine, double status-2 tattle tape strips are used.  Simply open the book to any page, peel off the plastic strip, apply sticky side lengthwise in book as close to the binding as possible.  Peel off the top of the plastic strip.

  • To strip the book, stand the book on end, spine facing out (towards you). 
  • Slide the long strip of metal called a "bayonet" down the back of the book between the cover and binding. 
  • Peel the plastic strip off the tattle tape and stick a short length (about 1/8 inch) of it to the top end of the bayonet. Be sure to adhere only 1/8 inch of adhesive surface to the end of the bayonet.
  • Draw the bayonet and tape through the book spine to its bottom, tap into place and then pull the bayonet loose. 
  • After insertion, press firmly along the spine to adhere the strip in the book.
    Hold your thumb against the spine of the book, near the end of the bayonet, as the bayonet is pulled out.When inserting the detection strip in the spine of the book, do not stretch the strip.
  • For books with no space between the binding and spine, double status-2 tattle tape strips are used. 
  • Open the book to any page.
  • Peel off the plastic strip.
  • Apply the sticky side lengthwise in the book as close to the binding as possible.
  • Peel off the top of the plastic strip, leaving the metal strip exposed.
  • Close the page and press the two pages together with a smoothing bone to hide the strip. (The bone is a plastic device used in creasing and pressing.)

Machine Method

The preferred method of placing theft detection strips into books is by using the 3M Tattle-Tape Application machine. There is a manual provided with indepth instructions and troubleshooting, plus a video (which should be seen before first using the machine.)  Following is a brief guide to using the machine. See also page 1-9 in the 3M manual.

Use the applicator paddle provided with the dispenser to insert strips in the books. The edge of the paddle is coated with tape. The tape holds the strip for pasting into the book.

Before starting to insert strips, verify the tape is clean (no dirt, tears, or nicks).  If the tape is damaged, see Troubleshooting on page 1-22 of the 3M manual for tape replacement instructions.  Check that the edge of the applicator paddle is straight, or see Troubleshooting on page 1-21 for advice.

 

  1. Put a book on the machine's table and open the book in the middle. If the pages have a single image across both pages, change to a different page.
  2. Put the paddle in the center of the slot in the top of the dispenser.
  3. Release the paddle. This will help avoid improper strip placement. The dispenser applies a strip to the paddle with an audible thump.
  4. After hearing the thump, remove the paddle. The strip should be lying flat along the edge of the paddle, aligned with the paddle edge.
  5. If the strip is kinked or bent, remove and discard the strip. Repeat steps 2-4.
  6. If the strip fails to stick to the paddle or jams in the machine, see Troubleshooting on page 1-21 of the 3M manual for strip removal instructions.
  7. To adhere the strip to the book:
  • With the strip facing up, push the paddle edge firmly into the book gutter.
  • Move the paddle over onto the opposite page.
  • Pull the paddle up quickly. The strip should stick firmly to the page of the book. The strip should also be parallel to the gutter of the book.

If the strip is kinked or bent, remove the strip and discard. Change to a different page and repeat steps 2-7.

Close the book. Repeat steps for each book.



STAMPING

Stamp the top of each book with the Dallas County Community College property stamp.

On the inside back cover, stamp the book with the same campus name that is on the book pocket. This stamp is centered, near the binding of the book.



TQM VIDEOS
  • The spine label (small label) goes on the side of the container, in the same place that the spine label would go on a book.
  • Place a plain book pocket on the back of the videocassette container. 
  • Stamp the pocket with the Dallas County Community College stamp.
  • Put the book pocket label (large label) on the pocket.
  • Place one item id (barcode) label on the bottom part of the pocket.
  • Place one item id (barcode) on the videocassette in the middle indentation.
  • Place the third item id (barcode) on top of the container in the upper left corner (the same placement as on a book).
  • If there is not already a title label on the video, type one with the title of the video and place it in the place provided for a title label on the videocassette.
  • After processing, give videocassettes to Charlotte Cherry.  She will shelve them in the TQM collection.


DEPOSITORY VIDEOS
  • Follow the same procedures as for TQM videos (above) except use clear videocassette containers.
  • On a plain book pocket, stamp Central Depository.
  • After processing, give videocassettes to Roz Ewalt. She will shelve them in the Depository collection.

VIDEOCASSETTE PROCESSING -  RICHLAND COLLEGE

Educational Resources Support Services will physically process videocassettes received from Richland Media. This is in addition to the cataloging currently being done by ERSS.

Specific Procedures

 1. Labels. Both system-generated and manually-typed labels will be applied to the videocassette. A set of system-generated labels consists of one small call number label (with the LC number and system location code) and a larger label (with LC number, system location code, title, and item id number). The single manually-typed label will contain only title information. In addition, a bar code label with the item id number will be applied.

All labels will be applied directly to the videocassette. No labels will be applied to any video container. No tape over any labels!

Placement of labels will be as follows:

  a. The manually-typed title label will be on the spine of the video, placed in the customary, indented place provided for such a label. Information for this label will be provided to the Processor on the Media Action Form (MAF) accompanying the video. No tape will be applied over the label.

  b. The small system-generated call number label will also be placed on the spine of the video, just below the manually-typed title label. No tape will be applied over the label.

  c. The large system-generated title label will be placed on the front of the video, in the customary, indented place provided for such a label. No tape will be applied over the label.

  d. The bar code label (also known as the item id label) will be placed on the large system-generated title label so that it will be visible through the window area of the videocassette container (not supplied with video). Placement of this item id label may be either at the top or bottom of the large title label: processor discretion on this.

 2. Booklets. On the MAF, Richland will indicate which booklets are to be included in the cataloging/processing process. If any booklets are cataloged and processed, they will be treated just like any other book processed by ERSS, except that no pockets will be included; only labels. No security strips are to be added.

 3. Media Action Form (MAF).  The current supply of Media Action Forms will be used.  Both ERSS and Richland will monitor which items on the MAF are not required, and what information areas need to be added to a new form. Charlotte will put the number of items to be processed at the bottom of the MAF for tally purposes.

 4. Return of Videos. After processing, the ERSS Department Assistant will date the MAF and return it to the campus in the same tub as the videos. Charlotte will provide a return mailing label to the campus for the ERSS Department Assistant to use with each group of videos. ERSS will keep the yellow copy of the MAF. The ERSS Department Assistant will give this to David after processing.
